RESERVATION AND PAYMENT
Payment (in Canadian dollars) by cheque, money order, or email money transfers.
A deposit of 50% of the total fee is required upon signing to confirm a reservation. The balance of the fee is due 30 days prior to check-in. A refundable Damage and Excessive Noise Deposit of $500.00 is also required prior to check-in. The Deposit can be submitted separately with your final payment and will be held (up to 30 days) uncashed until the unit has been checked after departure, all keys have been returned and no noise complaints have been issued. The deposit may be held against loss, damage, excessive noise, extensive cleaning or late check-out, etc.
A 48 hour grace period after payment of a reservation is permitted allowing guests to cancel with full refund and no service charge. For reservations cancelled 45 days or more prior to arrival, the 50% deposit will be returned, in full, less a service charge of $50. If cancelled 31-44 days prior to arrival, the 50% deposit is non-refundable, but will be applied, in full, to an alternate date (good until the end of the same season the following year) OR the unit is re-rented in which case the guest(s) will receive a refund proportional to the re-booking less a $50 service charge. Re-bookings must be done within one month of cancellation. For reservations cancelled less than 30 days prior to arrival, 100% of the reservation, including any cleaning fees, is non-refundable unless an alternative rental is made for the same dates. Any refund will be proportional to the re-booking and a $50 service fee will be applied. 7 days or less, the reservation is $100% non-refundable! In case of an all-mountain closure due to lack of snow, guests will receive off-season rates with a credit toward a future stay at any time of year.
Both 201 & 402 rent as one bedroom units and sleep up to 4 people comfortably. Please keep in mind that you are renting our homes and reservations are for a set number of guests. We must be notified of any increase in the size of your party and reserve the right to refuse or interrupt service to any guest. Renters under the age of 25 must be accompanied by an adult of 25 years or older and they must occupy the property for the duration of the stay. Any reservation made under false pretenses will be subject to forfeiture of advance payment of rent and deposit, and the party will not be permitted to check-in, or the party will be required to leave the property.
WHAT IS PROVIDED
Bedding, towels, paper products (toilet paper and paper towel), j-cloths (or equivalent), sponges, garbage bags, vacuum bags, hand soap, dishwasher soap, dishwashing soap, laundry soap, flashlight (and batteries), lightbulbs and various cleaning products are supplied. Some basic dry goods (coffee, tea, sugar, salt, pepper…) are also available for guest use. Towels and bedding are kept in the dresser in the bedroom and/or under the bathroom sink. Please return all linens cleaned and folded to their proper spot prior to check-out. We do not supply personal toiletries, such as shampoo, body soap, etc.
Cleaning Services may be provided upon request for an additional charge of $100 per stay. Arrangements for this service is available to those guests who book 3 weeks in advance or more and must be made at time of booking and paid for on or before the final balance. Those who book between 20 to 14 days in advance may be able to get cleaning service, if available and payment for the services must be made at time of reservation. Anything 2 weeks or less, guests will be required to self-clean. Cancellation policies (as listed above) apply to the cost of cleaning.
Self-cleans will be the RESPONSIBILITY of the guest. Guests are required to leave the unit in the same condition as they found it or better when leaving as there will be no housekeeping services provided between rentals. Washer and dryer are available in the unit and laundry soap is provided. If you are using our linens, you must allow time for washing and drying as it is impossible to do it all in a single load. To make cleaning easier, we suggest bringing your own sheets, pillowcases and towels (no sleeping bags please). A Departure Check-list will be provided to help guide you through the check-out process.
DAMAGE & EXCESSIVE NOISE
We expect the occasional, accidentally broken glass, plate, etc... Please tell us if something breaks, so that we can replace it promptly. A minimum $100 will be charged to the guest if the unit is not left in satisfactory condition. A charge of $200 may be deducted from your Damage and Excessive Noise Deposit if guests of 201 or 402 are asked to limit noise before 7am or after 11pm (as owners will be fined this amount by the Strata if the noise is excessive and disruptive to other guests in the building). Please be considerate and keep the noise to a respectful level.Please, do not walk heavily in the units! It is very disruptive!
CHECK-IN/OUT AND KEY SERVICE
Check-In-Time: 4:00 pm. Please advise us of your anticipated arrival time.
Check-Out-Time: 12:00 pm (Allow time for clean-up). Early check-out may be required for other cleaning arrangements. Late check-out must be pre-arranged.
Earlier check-in and later check-out must be pre-arranged. A new code is provided at the start of each rental for keys (located on the mountain). Further instructions are given a few days prior to arrival. Lost keys will result in a minimum fee of $50.00 per set being deducted from the Damage Deposit.
Parking is one underground parking spot marked with the unit number, either #201 or #402. Do not park in the neighboring spots. Do not park on the road as this impedes the snow removal process and you will be towed to Courtenay (at your cost). Additional parking may be available in the outside parking area of Mountainside Lodge along the right-hand side by the bank. There are also two (2) additional u/g spots available in the back of the parking lot by the ski lockers, marked 501 and 502. All extra parking is limited to a first-come, first-serve basis. Vehicles over 6’3” may not be able to enter the u/g parking area.
SKI AND BIKE STORAGE
Skis, snowboards, etc. must be left in the rental ski locker located in the underground parking lot. For unit 201, the guest locker is #26. For unit 402, the guest locker is #37. NO skis or boards upstairs in units or hallways. Currently there is no area provided for bike lock up and bikes are NOT permitted in the unit. Please be sure to lock bikes on or in your vehicle.
HOT TUB & SAUNA AND WIFI
Please respect all posted rules regarding the hot tub and sauna. It is located in the main lobby area. We cannot guarantee access, safety and/or cleanliness of these facilities at any time. Abuse of hot tub privileges may result in forfeiture of your rental and/or a fine from your damage deposit. Free wifi is available for unit 201 only. Username and password are posted on wall by hot water tank in kitchen. Should the wifi not be working, please use your cell phone as your hotspot or access free wifi from one of the lodges.
NO PETS, NO SMOKING, NO CANDLES
Please note that smoking is not permitted anywhere in the building or on the balconies!
